Uses of PowerPoint

The main use of PowerPoint is to create informative presentations that are created as slides. The presentation comprises text, graphics, video, smart art, audio, and animations.

These slide presentations are then displayed on computer screens and as well as projection screens.

They can be shared as files as well to share with a small or large audience. The slide presentations can also be printed for hard copy reference.

The slide presentations can be used for education, marketing, report making, Governance and citizen services, business, and training purposes among other uses.

How to Launch PowerPoint

  • To start PowerPoint, go to Start, click on All Programs, click on Microsoft Office and locate Microsoft Office PowerPoint. The window is very similar to that of Microsoft Word only that here you have to make use of slides to make your presentation. Note that there are other ways you can use to open this program, for example, using a shortcut icon on the desktop if there is one.
  • Like in all programs, you should start by saving your work. This is done by going to File Save As option and then giving your document the desired file name.
  • The PowerPoint’s window opens with a slide ready for use where you can input the title and subtitle of your work. We do not congest our work in PowerPoint. So, you should keep on inserting more slides.
  • To insert a new slide, go to the Insert Menu and select New Slide.
  • You can change the slide layout of the new slide by picking the layout you want from the slide task pane on the right-hand side. We have different layouts like title slide, title only, title and text, title and 2-column text, blank, content, title, and content among others.
  • Adding pictures, clip arts, and videos is very simple just like in Microsoft Office Word.

Formatting PowerPoint Slides

Text Formatting While Using Powerpoint

If you are familiar with Microsoft Office Word document formatting, then you will have an easy time working with PowerPoint. Formatting is done similarly to in Microsoft Word.

Background Formatting

For background formatting, go to Format Menu and select Background. You can make use of solid colours or fill effects just like in Microsoft Office Word. The background you select can be applied to all slides or specific slides.

Still, on slide formatting, you can make use of Slide Design found on the Format Menu. This allows you to use available design templates and apply them to your slides. They are gorgeous, you will love them.

Viewing Your Presentation

To view your presentation, go to Slide Show Menu and select View Show. You can also press the F5 key on your keyboard.

You should now start seeing your work. Click to advance the slides one after the other manually.

Creating Animations

The presentation you have created requires animation. This is the most interesting part.

Click on the text block or picture or whichever object you want to animate and click on Slide Show >Custom Animation.

On the custom animation window that appears on the right, click add effect.

Choose the type of effect you want among the listed ones (entrance, emphasis, exit, and motion path).

If for instance, you want to give your text an entrance effect, point to the entrance and then click on more effects. You will be able to choose the kind of effect you want to use.

You will even be able to preview before applying your selected animation. You can fine-tune your animation by giving it random effects like setting how to start the animation, direction, and speed.

This is what you should set last. Slide transition defines how you move from one slide to another.

Go to the Slide Show menu and select Transition. Select a transition, speed, and sound.

To make your slides move automatically without you clicking, deselect the On Mouse Click button then set the delay in seconds before the other slide appears.

Go to Slide Show > View Show and enjoy viewing the presentation you have created.

Tips on Making the Best Presentation

  • Use text size of at least 25.
  • Use uniform font types and thickness.
  • Don’t overload your presentation – less is more. Keep your presentation to 10 lines per slide.
  • Have a background that is uniform throughout and allows for optimal colour contrast, to deliver your message as clearly as possible.
  • Make images as large as possible.
