How to Make an NHIF Payment For a Company Using NHIF Byproduct Number

NHIF has introduced a far more efficient and faster method of collecting employers' monthly payroll byproducts via the online system. Rather than sending hard copy documents or emailing the information to NHIF, you can just register and upload it once you log in. This makes processing faster and reduces the chances of human error.

It is possible and much easier for employers to make their NHIF contribution for employees online. You do this using the NHIF employer portal. However, this method is only available for companies or organizations. Individual members should use the Mpesa option to pay for NHIF.

1. Procedure for Making Your NHIF Remittance Online

Follow these simple steps that will enable you to make your NHIF remittance online.

  • Log into the NHIF website.
  • On the left-hand side, locate a link called Payroll Byproduct and click on it.

After you do that, the employer portal, also known as Payroll Byproduct or Pay Online, will open.

Now there are two options: you are either registered as a user, or it is your first time.

If it is the first time for your company to make a remittance online, you will be required to register first as an online user. Do not worry, it is a simple procedure.

2. Company Registration Procedure

This is how you register for the first time.

  1. Click on the "register" link to get the registration form.
  2. Once the registration form opens, fill in the required details, such as your company name, employer code, working email, and password, and then you register. Note down your password well because it is the one you will use for login purposes later on.

3. Logging Into the Byproduct Portal

If you are already registered or have just registered, you can log in using the login option provided. You will be required to input your employer code and the password you created to proceed.

4. How to Prepare The NHIF Excel File

After a successful login, you will be required to choose or upload your Excel file with the data and validate it. But how do you prepare your Excel file?

To prepare your Excel file, you should download the provided Byproduct Sample. Click on the link provided to download this template. Once you have downloaded it, the best thing is to replace the existing data with your own data. Input your employer code, employer name (name of the company), the month of contribution, and then the employees’ data. If you do not have a payroll number for the employees, you can just give them any sequential numbers. Row number 4 should be left empty.

To add more employees, right-click on one of the rows with a name and insert a new row. You can insert as many as you want, depending on how many employees you have. Confirm the formula for the total or confirm the total itself. Save the file with the name of the company and note where you have saved it. This is because you will be required to upload it.

5. How to Upload Your Excel File Into the NHIF Portal

Go back to the product portal, ready to upload the completed file. Click on the link, choose "file," and select the file you have just saved. Click on "validate byproduct" and wait while your file is verified. If the file has no errors, you get a message that it is okay. If there happen to be errors, you will be told where they are, and you will have to rectify them.

If all is well, you can submit your file and then print the form that you will be given. You will use this in the bank for your payment. You can save this file and use it for your future submissions, as it will allow you to fill in the data with less work.
