Effective Communication

Effective communication is something more than just the exchange of ideas, information, and verbal or non-verbal speech. Communication becomes effective only when the receiver gets the point or underlying concept of discussion.

7 C's of Effective Communication-Academic Writing

Effective communication stands upon the following seven pillars:

  1. Clarity
  2. Correctness
  3. Completeness
  4. Conciseness
  5. Courtesy
  6. Concreteness
  7. Consideration

In other words, the communication must be clear, correct, complete, concise, courteous, concrete, and coherent to be effective. Let's dig into these seven pillars one by one for further information.

1. Clarity

We can define clarity as "free from obscurity, and easy to comprehend."

Clarity wants the use of simple language, avoiding complex terms, vocab, phrases, and idioms. It makes the communicating and comprehending process easy because the receiver is familiar with these terms and words.

For Example

  • Being a proficient and whiz teacher, I postulate that you must help the students. (UNCLEAR)
  • Being a skillful teacher, you must help the students. (CLEAR)

2. Correctness

It involves the right use of grammar, punctuation, and spellings. The facts and figures stated by the encoder (person or thing that conveys the messages) must be accurate for the decoder (person or thing that interprets the information or message).

The encoder must have know-how about the status and educational capabilities of the receiver or decoder. In short, it demands the proper addressing of the audience.

For Example

  • If I say, a little bird told me. Some of you might think of the parrot, while this idiomatic expression only means that I don't want to expose that source of information.

3. Completeness

It means that the message should contain all the necessary and essential information to bring the desired response.

It should answer all the possible questions, even though they are hidden. It must give some extra information about the topic, when necessary.

For Example

  • Please review my recent article. (INCOMPLETE)

  • Please review my article on How to lose weight in just ten days. (COMPLETE)

4. Conciseness

Conciseness is expressing a great deal in just a few words. Using short, concise, and brief sentences, including competent data, and excluding the unnecessary words and data, makes the communication concise.

In this way, It can be time-saving and helpful for both the sender and the receiver. You should avoid the repetition of words or even the ideas, and write only relevant information.

For Example

  • In due course (WORDY)
  • Soon (CONCISE)
  • We, at this moment, wish to let you know that we salute your bravery. (WORDY)
  • We salute your bravery. (CONCISE)

5. Courtesy

Courtesy is the key to success in every field of life. It involves not only thinking about the receiver but also giving value to his feelings. Everything starts and ends at courtesy. It strengthens the relationship between the receive and the sender. Much can be procured by using polite words, gestures, and being appreciative, thankful, and respectful towards the receiver.

For Example

  • I rewrote the article many times; the tone was not the same. Review it now.(DISCOURTEOUS)
  • I am sorry the tone was not the same. Here is another draft post. (COURTEOUS)

6. Concreteness

It is a significant factor in supporting and building confidence. The facts and figures should be specific. The information should be definite, vivid, and precise rather than being vague, ambiguous, and general.

For Example

  • Students' entry test opening merit was higher. (ABSTRACT)
  • In 2019, the MDCAT scores averaged 180, and the opening merit was higher than in 2018. (CONCRETE)

7. Consideration

This pillar of effective communication demands to put oneself in the place of the receiver or decoder while communicating. It refers to the use of the "YOU" voice in the conversation. It also involves positive facts, visualizing the reader or receiver's problems, desires, emotions, and his response.

You must see and comprehend your communication from the decoder's point of view. The use of positive words attracts the receiver of the message. Consideration means understanding the nature of humans.

It all relies on your attitude towards the receiver. You must slip into the receivers' shoes.

For Example

  • I am feeling delighted to notify you that we will publish your report by evening. (DISREGARD)
  • Your report will be published by evening. (CONSIDERED)
  • Don't use these expressions in your communication. (NEGATIVE)
  • Avoid these expressions. (POSITIVE)
  • We don't refund when the claimed item is soiled and worn out. (UNPLEASANT)
  • We will refund only when the claimed item is clean and unused. (PLEASANT)
